How EPICON Capital Club controls entry to its investor meetings with wallet access cards.

EPICON Capital Club, an investor network in Dubai and Riyadh, hosts closed-door events such as the Family Office Investment Meeting. Only members and delegates who register may attend. Each approved attendee receives a personalised Wally access card in Apple Wallet or Google Wallet, and the door validates it with a tap.

Members and delegates only
A pass is issued only after registration is approved, so the door list is the registration list.
Personalised, not transferable
Attendee name on the card, validated once at the door.

Date, time and venue on the pass, surfaced automatically on the day.

Overview

EPICON Capital Club and Wally, in brief.

EPICON Capital Club describes itself as a gateway to the Middle East's financial and innovation ecosystem, with a presence in Dubai and Riyadh. Its events, including the Family Office Investment Meeting, are closed-door by design: they are for members and for delegates who have registered and been approved. Paper tickets and printed badges undermine that, because they can be forwarded, photocopied or handed on.

Wally Ticketing turns each approved registration into a personalised access card in Apple Wallet or Google Wallet. The pass for the Riyadh meeting shows the attendee's name, the event title in Arabic and English, the date and start time, the venue at the Sheraton Riyadh Hotel & Towers, and the EPICON Capital Club and partner branding.

At the door, attendees tap their phone on the Wally reader. The pass is validated once, the entry is logged against the name, and the same card cannot be used twice. Because the pass is an event ticket in the wallet, it surfaces on the lock screen on the day with the time and venue.

The challenge

What was holding EPICON Capital Club back.

Before
Closed-door events depended on printed badges and guest lists that could be forwarded or shared.
With Wally
Access cards are issued only to approved registrations and validated once at the door. A forwarded screenshot does not open anything.
Before
Registration, ticketing and door control were separate lists that never quite matched.
With Wally
The pass is generated from the approved registration, so the door list is the registration list by construction.
Before
Attendees lost confirmation emails and asked for details on the day.
With Wally
Date, time and venue sit on the card in the wallet and appear on the lock screen when the event begins.
The solution

How the Wally Ticketing works for EPICON Capital Club.

EPICON Capital Club event access card in Apple Wallet for the Family Office Investment Meeting in Riyadh, showing attendee name, date, time and venue
1
Attendee and timeThe attendee's name at the top with the event date and start time, the standard layout for wallet event tickets.
2
Access card artworkEPICON's gold-framed access card with the event title in Arabic and English and the partner logo, as full-bleed pass artwork.
3
Event and venueEvent name and venue on the lower band, so the card doubles as the attendee's confirmation.
4
Single-use validationThe pass is validated once at the reader and cannot be reused or forwarded to another phone.
01

Register or be delegated

Members register, or a member delegates a colleague. EPICON approves the attendee in its registration flow.

02

Access card issued

Wally generates a personalised pass for the approved attendee and delivers it by email or link. It is added to the wallet in one tap.

03

Reminder on the day

The pass surfaces on the lock screen with the time and venue, so the attendee walks in without searching for an email.

04

Tap to enter

At the door the attendee taps their phone on the Wally reader. The card is validated and marked as used, and the entry is logged.

  • Single-use validation at the door
  • Event details on the lock screen on the day
  • Every entry logged against a name
Insights

Why it worked.

Insight 01

Issue from the registration, not the ticket shop

For members-only events the pass should be a consequence of approval. That is what keeps the door list and the registration list identical.

Insight 02

A named pass changes behaviour

When the attendee's name is on the card and it validates once, forwarding stops. No enforcement conversation is needed at the door.

Insight 03

The wallet is the reminder

An event ticket in the wallet surfaces itself on the day. It replaces the reminder email nobody opens.

Insight 04

Bilingual artwork carries the brand

The Arabic and English event title and the gold frame make the pass feel like an invitation, which matters for an investor audience.

Only the people who registered receive a card, and only that card opens the door. It fits how we run our meetings.

Playbook

How to replicate this in your business.

Five decisions from the EPICON Capital Club programme that transfer to any business events & investor networks operator.

  1. 1

Generate passes from approved registrations so ticketing never drifts from the attendee list.

  2. 2

Put the attendee's name on the card and validate it once. Transferability disappears without policing.

  3. 3

Use the lock-screen behaviour of event tickets instead of reminder emails.

  4. 4

Design bilingual artwork for regional audiences; the pass is part of the invitation.

  5. 5

Keep the entry log. It is the attendance record for members, delegates and partners.
